Reconcile evidence · do not infer activation

Recent SAM renewal: reconcile conflicting evidence

A vendor says it renewed, but your saved extract still shows an older status or expiration. Build an evidence ledger before replacing either claim. The task here is resolving a discrepancy, not scheduling reminders or teaching the renewal procedure.

Editorial review: November 1, 2026. Official source guidance was checked October 31, 2026. Historical data and fictional examples are identified below. Confirm consequential decisions in official SAM.gov.

Keep three dates and two kinds of evidence

Evidence ledger · complete for the same entity and location

Date to record
Extract source date
Attach or describe
Source name, exact identity matched, recorded status and expiration
What it establishes
What the historical source recorded, not today’s status.
Date to record
Renewal submission date
Attach or describe
Submission acknowledgement and entity reference, if available
What it establishes
Evidence of a submission; not necessarily completed activation.
Date to record
Official verification timestamp
Attach or describe
The matching official record or status tracker result, including status and displayed expiration
What it establishes
What that official check showed at that time. Preserve uncertainty if the result is pending or unclear.

Also record when you received each item. A screenshot without an identity or an observation date cannot resolve the discrepancy simply because it looks newer.

SAM.gov Entity Information directs users separately to renew an entity and to check the status of a recently submitted registration or renewal. That distinction is why this ledger does not treat “submitted” as “active.”

Two cases with the same older extract

Case A · the later check establishes a changed record

Item
October 5 extract
Recorded evidence
Expired; expiration October 1, 2026
Conclusion
Historical observation retained unchanged.
Item
October 20 submission
Recorded evidence
Renewal acknowledgement for the same entity
Conclusion
Submission recorded; activation not inferred.
Item
October 31 official check
Recorded evidence
Matching record shows Active and expiration October 20, 2027
Conclusion
For a present-day review, cite the October 31 official observation; keep the older extract as history.

Case B · the discrepancy is still open

Item
October 5 extract
Recorded evidence
Expired; expiration October 1, 2026
Conclusion
Historical observation retained unchanged.
Item
October 20 submission
Recorded evidence
Vendor statement; no matching acknowledgement available
Conclusion
Unverified claim recorded as such.
Item
October 31 check
Recorded evidence
No conclusive matching official result captured
Conclusion
Current status unresolved. Assign a follow-up; do not label active or infer a new expiration.

The outcome changes because of the evidence, not because October 31 is later than October 20. In a real review, copy the displayed expiration; do not calculate it from the submission or infer an activation date. Do not overwrite the source file to make the historical record agree with the vendor’s statement.

Save a blank discrepancy record

Download the blank evidence ledger (.txt). It contains no identity data, needs no form and makes no network lookup. Fill it in privately; do not include credentials.

  • Use one record per intended entity/location, with a reference to the transaction you are reviewing.
  • Separate quoted source values, vendor statements and your conclusion.
  • Record the reason for accepting newer evidence, or the missing item that keeps the discrepancy open.
  • Name a follow-up owner and review date. A saved ledger is an audit aid, not approval for an award or payment.

For the renewal process itself, use official SAM.gov registration guidance. For finding an expiration date and planning review checkpoints, use the existing expiration guide below.
